How Travel Beyond UK collects, uses and protects personal information.
Who we are
Travel Beyond INC LTD, trading as Travel Beyond UK, is the controller of personal information covered by this notice. Information we collect
Depending on your enquiry or booking, we may collect names, contact details, dates of birth, passenger and itinerary information, booking references, correspondence, payment status and transaction references, and technical information such as IP address, device, browser and cookie identifiers. Where necessary for accessibility, health, dietary or other travel requirements, we may process special-category information that you choose to provide.
Why we use it and our lawful bases
- Enquiries and bookings: to take steps at your request before a contract and to perform a contract.
- Legal and regulatory duties: to meet tax, accounting, fraud-prevention, aviation, immigration and consumer-protection obligations.
- Service and security: for our legitimate interests in operating, protecting and improving our services, provided those interests do not override your rights.
- Marketing and non-essential cookies: with your consent where consent is required. You can withdraw consent at any time.
- Special-category information: with explicit consent or another lawful condition where necessary, including to protect vital interests in an emergency.
Who we share information with
We share only what is reasonably necessary with organisations involved in arranging or supporting your trip. These may include Brightsun Travel (UK) Limited, airlines, hotels, tour operators, destination management companies, transfer and activity providers, payment providers, IT, hosting, email, form, chat and analytics providers, professional advisers, insurers where relevant, and regulators, law-enforcement or government authorities where required by law.
Each supplier may also act as an independent controller under its own privacy notice.
International transfers
Travel bookings commonly require information to be sent to suppliers outside the United Kingdom, including in the destination you select. Where UK data-protection law requires safeguards, we use an applicable adequacy regulation, approved contractual safeguards or another lawful transfer mechanism. A transfer may also be necessary to perform or arrange your travel contract. Contact us if you would like further information about the safeguard used for a particular transfer.
Payments and identity checks
Payment-card details must be provided only through the approved secure payment method. We do not ask customers to email or message card photographs, full card details, card security codes or PINs. If a fraud or third-party payer check requires identity evidence, we will request only what is necessary and provide a secure method for supplying it.
How long we keep information
- Unconverted enquiries are normally retained for up to 24 months so we can respond and maintain an appropriate service record.
- Booking, payment and accounting records are normally retained for six years after completion of the booking, or longer where required for a legal claim or regulatory obligation.
- Marketing records are retained until you unsubscribe or withdraw consent; we may keep a minimal suppression record so we respect that request.
- Identity evidence requested for a specific check is retained only for as long as necessary for that check and any directly related legal obligation.
- Cookie and technical data are retained according to the relevant cookie or provider setting and reviewed periodically.
We may shorten or extend a period where law, a regulator, a dispute or an active booking requires it.
Your rights
Subject to the circumstances and applicable exemptions, you may ask for access to your information, correction, erasure, restriction, portability or objection to processing. Where processing relies on consent, you can withdraw that consent at any time. You also have an absolute right to object to direct marketing.

Complaints

We use necessary cookies to operate and secure the website. Analytics, advertising or other non-essential cookies should be used only after the required consent has been obtained. Security

Children
Our services are arranged by adults, but a booking may include children. The lead passenger must have authority to provide a child’s information and should provide only what is necessary for the travel arrangements.
Automated decisions
We do not make decisions based solely on automated processing that produce legal or similarly significant effects on you.

We review this notice when our services, suppliers or legal obligations change. Material updates will be shown on this page with a revised effective date.
